Many jobs in India, especially in startups, small and mid-sized companies and consultancies, still ask you to 'send your resume to careers@company.com'. In that case your email is the first thing the recruiter sees, and a poor one can get your resume ignored before it is even opened.

This guide shows how to write a clear job application email, with subject line examples and five templates you can adapt.

What makes a good application email?

A good email is short, polite and specific. The recruiter should understand in ten seconds who you are, which job you are applying for and why you are a match. Follow these rules:

  • Use a professional email address, such as firstname.lastname@gmail.com.
  • Write a clear subject line that includes the job title and your name.
  • Address a person when possible; otherwise write 'Dear Hiring Manager'.
  • Keep the body to 100 to 150 words.
  • Attach your resume as a PDF with a clear name such as Aarav_Mehta_Resume.pdf.
  • Add your phone number and LinkedIn link in the signature.
  • Proofread for spelling mistakes and the correct company and role name.

Subject line examples

The subject line decides whether your email is opened. Include the job title and, if given, the reference number.

  • Application for Software Developer, Aarav Mehta
  • Application for Data Analyst (Ref: DA-2026-14)
  • Fresher Application: Junior Accountant, Rohit Verma
  • Application for Digital Marketing Executive, 2 Years Experience
  • Applying for Customer Support Executive (Referred by Neha Kapoor)
  • Internship Application: Content Writing, Priya Nair

Avoid subjects such as 'Job', 'Resume' or 'Please see attached'. They look like spam.

Template 1: General application (fresher)

Subject: Application for Junior Software Developer, Aarav Mehta

I am writing to apply for the Junior Software Developer position advertised on [website]. I am a B.Tech Computer Engineering graduate with experience in Python, Flask and SQL, and I have built three projects, including an expense tracker used by 25 classmates.

I am keen to contribute to your team and continue learning. My resume is attached for your review, and my GitHub profile is linked below.

Best regards, Aarav Mehta +91 98765 43210 | linkedin.com/in/aaravmehta | github.com/aaravmehta

Template 2: Experienced professional

Subject: Application for Senior Accountant, Neha Kapoor (6 Years Experience)

Dear Mr. Gupta,

I would like to apply for the Senior Accountant role at [Company]. I have six years of experience in GST compliance, audit support and month-end closing in the manufacturing sector. In my current role, I reduced the monthly closing time from 8 days to 5 days by streamlining reconciliations.

I believe my experience matches the requirements in your job description. I have attached my resume and would welcome a chance to speak with you.

Template 3: Application through a referral

Subject: Application for Data Analyst, Referred by Rahul Sen

Dear Ms. Rao,

Rahul Sen, a Senior Analyst in your team, suggested that I apply for the Data Analyst opening. I have three years of experience with SQL, Power BI and Python, and I recently built a dashboard that reduced weekly reporting time by 40%.

My resume is attached. I would be grateful for the opportunity to discuss how I can contribute to your team.

Thank you, Sanjay Patel

Only mention a referral if the person has agreed to it.

Template 4: Internship application

Subject: Internship Application: Content Writing, Priya Nair

Dear Hiring Team,

I am a final-year BA English student and I am interested in your Content Writing internship. I have written 20 blog articles for my college magazine and a personal blog, and I have completed a short course in SEO basics.

I am eager to learn and to contribute to your content team. My resume and two writing samples are attached. Thank you for considering my application.

Sincerely, Priya Nair

Template 5: Cold email for a job not advertised

Subject: Interested in Marketing Roles, Rohan Das

Dear Ms. Sharma,

I am a digital marketing executive with three years of experience in SEO and paid campaigns. In my current role, I increased organic traffic by 60% and lowered the cost per lead by 25%. I admire [Company]'s recent campaign for [specific product], and I would like to know if there are suitable openings on your marketing team.

I have attached my resume and would be happy to share more details. Thank you for your time.

Best regards, Rohan Das

Keep cold emails even shorter, mention something specific about the company and make a small request, for example asking whether there are openings.

Should you paste a cover letter in the email?

For most applications, the email body works as a mini cover letter. If the job asks for a separate cover letter, attach it as a PDF alongside your resume. You can create a draft with the Cover Letter Generator and learn the full format in our cover letter for freshers guide.

Follow-up email

If you do not hear back in 7 to 10 days, send a polite follow-up in the same email thread:

Subject: Re: Application for Junior Software Developer, Aarav Mehta

Dear Hiring Manager,

I am following up on my application for the Junior Software Developer role submitted on [date]. I remain very interested in the opportunity and would be happy to provide any further information.

Thank you for your time.

Best regards, Aarav Mehta

Follow up once or twice at most.

Checklist before you hit send

  • The subject line has the job title and your name.
  • The recipient's name and company are correct.
  • Your resume is attached as a PDF, named clearly and scanned with the ATS Resume Checker.
  • The email is under 150 words and error-free.
  • Your phone number and LinkedIn link are in the signature.
  • You attached any extra documents the job asked for, such as a portfolio or certificates.

Common mistakes

  • Sending to the wrong company or with the wrong job title.
  • Writing in all lowercase or using SMS language.
  • Attaching a file with a name like resume_final_final2.pdf.
  • Sending a huge attachment. Keep files small, ideally under 1 MB.
  • Leaving the body blank. Always write a short message.
  • Using a casual email address.

Key takeaway

A strong job application email is short, specific and professional. Use a clear subject line, mention the role and one reason you are a good fit, attach a clean PDF resume and close politely. Build or update your resume in the Resume Builder before you send it.
